TITLE:
Office Associate I, II, III - Schools
PRIMARY FUNCTION:
To assure the smooth and efficient operation of the school office so that the office’s maximum positive impact on the education of children can be realized
MINIMUM QUALIFICATIONS:
- Any combination of education and experience equivalent to graduation from high school and considerable experience in progressively responsible clerical and stenographic work
- Thorough knowledge of standard office practices and procedures, equipment, and secretarial techniques
- Thorough knowledge of business English, spelling, and arithmetic
- Ability to interpret and apply policies and procedures
- Ability to type, take and transcribe accurately at a reasonable rate of speed
- Ability to establish and maintain effectively working relationships with others
- Ability to work independently in the absence of specific instruction
- Ability to meet the public effectively
- Such alternatives to the above qualifications as the Board may find appropriate and acceptable
REPORTS TO:
Person designated by the Board or the superintendent
PERFORMANCE RESPONSIBILITIES:
- Perform usual office routines
- Take and transcribe dictation of various types, including correspondence, reports, notices, recommendations, handbooks, and grant applications
- Establish and maintain effective working relationships with others
- Maintain such student records as shall be required
- Receive and route all incoming calls
- Maintain daily teacher/substitute logs and records
- Assist teachers in preparing instructional materials as requested
- Process all changes and adjustments in student schedules after the second week of the school year
- Maintain a log of visitors to the school
- Operate word processors, computers, calculators, copier, and facsimile machines
- Keep a calendar of all events, activities
- Receive, deposit, disburse and record all monies received by the school, and keep an accurate ledger from which a monthly balance sheet and an annual audit can be made (Secretary III only)
- Maintain office and school supplies including textbooks, prepare inventories and requisitions supplies used in the school
- Perform other duties as assigned
PHYSICAL REQUIREMENTS:
Involves limited physical tasks including lifting, and may involve operation of equipment such as computers, copiers, overhead projectors, etc.
TERMS OF EMPLOYMENT:
180 Days Grade 5
200 days Grade 8
12 Month contract Grade 9
EVALUATION:
Performance of this job will be evaluated in accordance with provisions of the Board’s policy on Evaluation of Personnel.
